Terms and Conditions

1. Organizer and seller

The International Science of Learning Symposium is organized by the Science of Learning Academy, based in Finland (“we”, “us”, or the “Organizer”). The seller’s identifying details are also shown on your order confirmation or invoice.

2. Registration and the contract

You must provide accurate, current information when ordering. A binding contract is formed when we accept your order and send an order confirmation. If payment is not completed or is later reversed, we may cancel the registration after giving you a reasonable opportunity to correct the payment.

Your ticket grants the named attendee admission to the event components described for that ticket. Travel, accommodation, insurance, visas, and other personal expenses are not included unless the ticket description expressly says otherwise. You are responsible for checking travel-document and entry requirements in time.

Tickets may be capacity-limited. We may reject or cancel an order affected by an obvious pricing or availability error; if payment has already been taken, we will refund the amount paid.

3. Prices and payment

The total price, applicable taxes, and any charges are displayed before you place the order. Payment is made using the methods offered at checkout. A payment provider may process the transaction under its own terms and privacy notice. We do not receive your complete payment-card number.

4. Presenter registrations and abstracts

A presenter ticket permits the purchaser to submit an abstract in the applicable category, but purchase does not guarantee acceptance. Abstracts are reviewed against the published criteria and programme needs. If an abstract is not accepted, the ticket remains valid for attendance; the cancellation rules below continue to apply.

Submitters must have permission to provide co-authors’ details and must ensure that submissions are original, lawful, and do not infringe another person’s rights. Unless separately agreed, authors retain ownership of their work and grant us permission to reproduce accepted titles, abstracts, names, affiliations, and presentation materials for the event programme, event delivery, and event archive.

6. Cancellation, postponement, and programme changes

If we cancel the event, you may choose a full refund of the ticket price instead of any replacement event, credit, or voucher we may offer. If we move the event to different dates, you may accept the new dates or request a refund of the ticket price. We will explain how and by when to request the refund.

Speakers, sessions, rooms, and timings may change for justified operational reasons. We will communicate significant changes. A material change may entitle consumers to an appropriate remedy under applicable law; minor programme changes do not by themselves entitle you to a refund.

If circumstances beyond our reasonable control prevent the event from proceeding, we may cancel, postpone, relocate, or adapt it. This does not remove any mandatory right to a refund for services not supplied. Unless required by law, we are not responsible for separate travel, accommodation, visa, or other costs, so attendees should use flexible bookings and appropriate insurance.

7. Attendance, accessibility, and conduct

Please tell us about accessibility assistance and dietary requirements early enough for us and the venue or caterer to respond. We will make reasonable efforts to accommodate requests but cannot guarantee that every request can be fulfilled.

Attendees must behave safely, lawfully, and respectfully and follow reasonable venue and Organizer instructions. We may refuse admission or remove a person whose behaviour threatens safety, seriously disrupts the event, harasses others, or materially breaches these terms. No refund is due where removal is justified, subject to mandatory law.

Personal, non-commercial photography is permitted unless a session, speaker, venue, or attendee indicates otherwise. Recording, livestreaming, or commercial use of event content requires prior permission. You must respect speakers’ and attendees’ privacy and intellectual-property rights.

8. Liability

Nothing in these terms excludes or restricts liability that cannot lawfully be excluded or your mandatory consumer rights. To the extent permitted by law, we are not liable for indirect or unforeseeable loss, loss caused by your failure to follow reasonable instructions, or services supplied independently by third parties. Our event content is for general professional and educational purposes and is not individual legal, medical, or other regulated advice.

9. Personal data

We process personal data to take orders, administer registrations, deliver the event, review abstracts, provide requested assistance, meet legal duties, and protect the website and event. Please read our Privacy Policy for details.

10. Complaints, governing law, and disputes

Please send complaints promptly and in writing to office@solsymposium.org, including your order number and a clear description of the issue. We will try to resolve the matter directly.

These terms are governed by Finnish law, without depriving a consumer of mandatory protections that apply in the consumer’s country of residence. If a Finnish consumer dispute cannot be resolved, the consumer may contact the Finnish Consumer Advisory Services and may refer the matter to the Finnish Consumer Disputes Board. Consumers residing elsewhere in the EU/EEA may also contact their local European Consumer Centre. A consumer retains the right to bring proceedings in any court competent under mandatory law.

11. Changes to these terms

The version accepted when you order applies to that purchase. We may update these terms for future orders. We will not retrospectively make a material change to an existing purchase unless the change is required by law or is agreed with you.
